We do not operate any contact forms on this website. All contact is initiated by you directly via email.

3. How we store your data
Email correspondence is stored on servers provided by our email and hosting provider. We take reasonable steps to ensure that any providers we use offer appropriate data protection standards and, where required, operate under suitable safeguards for international data transfers in compliance with UK GDPR.
We do not use third party CRM systems or marketing platforms to store your personal data.
Internal note (not for publication): Current provider is Combell (European hosted, EEA). If switching to Microsoft Outlook or Google Workspace, update this section to name the provider and confirm transfer mechanism (UK adequacy decision / Standard Contractual Clauses). Also check whether a Data Processing Agreement (DPA) needs to be in place with the new provider.
4. How long we keep your data
Ongoing clients: Email correspondence and related project communications are retained for the duration of our working relationship and for a reasonable period thereafter for legal and administrative purposes.
One-off enquiries and single engagements: Contact details and correspondence are deleted after two years. We may make occasional light contact within that period, for example to share relevant updates or check in on your needs. If you would prefer not to hear from us at any point, please let us know by emailing privacy@aiforya.com and we will remove your details promptly.
5. Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request that we correct any inaccurate data
- Request that we delete your data
- Object to our processing of your data
- Request that we restrict our processing of your data
- Withdraw consent at any time where processing is based on consent

6. Lawful basis for processing
We process your personal data on the basis of legitimate interests, specifically to respond to your enquiry and to manage our client relationships. Where we send any follow-up communications, we do so on the basis of legitimate interests and you may opt out at any time.
7. Use of AI tools in service delivery
In the course of providing consultancy services, Aiforya may use AI-powered tools to assist with tasks such as reviewing documents or analysing policies shared by clients. Where such tools are used:
- We only use tools that do not use submitted data for AI model training purposes.
- We use paid, private configurations of these tools where available, to ensure your data is not retained or processed beyond the immediate task.
- Any client documents processed in this way are handled in accordance with the confidentiality obligations set out in our client service agreement.
- We will always inform clients if AI tools are used in the delivery of their engagement.

8. Sharing your data
We do not sell, rent, or share your personal data with third parties for marketing purposes. We do not use any third party email marketing platforms.
